1. What We Collect

When you register at a UTRAX-powered event or use our platform, we may collect the following information:

• Phone number (used as your primary identifier and for SMS communications)
• Name
• Instagram handle (optional, depending on event settings)
• Device metadata (browser type, screen resolution, operating system)
• IP address
• Model release consent and timestamp

2. How We Use Your Information

Your information is used exclusively to deliver the UTRAX experience:

• Photo delivery — associating photos taken at events with your registration and delivering your personal gallery.
• SMS notifications — sending you a text message with a link to your photo gallery when your edited photos are ready to view and download.
• Verification codes — sending you a one-time verification code when you use the “Find My Photos” feature to look up your galleries by phone number.
• Event administration — enabling photographers and event organizers to manage registrations, match photos to attendees, and fulfill the photo delivery experience.

3. SMS & Text Message Communications

By providing your phone number during event registration (scanning a QR code and completing the registration form), you expressly consent to receive text messages from UTRAX and the event photographer's organization. These messages include:

• Photo-ready notifications — a one-time message per event when your edited photos are available for viewing and download, containing a link to your personal gallery.
• Verification codes — a one-time code sent when you request to look up your photos via the “Find My Photos” feature on our website.

How to opt out: You may opt out of receiving text messages at any time by replying STOP to any UTRAX message. You will receive a single confirmation message and no further texts will be sent. You may also email hello@utrax.co to request removal.

SMS messages are delivered via Twilio. T-Mobile, AT&T, Verizon, and all other major US carriers are supported. Carriers are not liable for delayed or undelivered messages.

4. Photo Storage & Retention

Event photos are stored on secure, self-hosted infrastructure. Photos are retained for the duration of the event lifecycle as determined by the photographer or event organizer. Default retention is 90 days after an event, after which photos may be permanently deleted.

You may request early deletion of your photos at any time by contacting the event photographer directly or by emailing hello@utrax.co.

5. Cookies & Local Storage

UTRAX uses a minimal set of cookies essential to the service:

• utrax_phone — Associates your device with your registration so you do not need to re-enter your phone number at each photo station. Expires after 30 days.
• Supabase session cookies — Used for photographer/admin dashboard authentication only.

We do not use tracking cookies, advertising cookies, or analytics cookies.

6. Your Rights

You have the right to:

• Access — request a copy of the personal data we hold about you.
• Correction — request that inaccurate personal data be corrected.
• Deletion — request that your data, photos, and registration records be permanently removed.
• Data portability — receive a copy of your data in a portable format.
• Opt out of SMS — stop receiving text messages at any time by replying STOP.

7. Children's Privacy

UTRAX is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us at hello@utrax.co and we will promptly delete it.

8. Third-Party Services

We share data with the following third-party services solely to operate the platform:

• Supabase — database hosting and authentication
• Twilio — SMS message delivery
• Vercel — website hosting

We do not sell, rent, or trade your personal information to any third party. We do not use your data for advertising or marketing beyond the UTRAX service. Your phone number is never shared with other organizations or used for purposes unrelated to event photo delivery.

9. Data Security

We implement industry-standard security measures to protect your personal information, including encrypted data transmission (TLS/HTTPS), secure database access controls, and row-level security policies. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated “Last updated” date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
